How EntryGrid works
One connected flow from the first invitation to the final attendance report.
- 01
Create your event
Set the essentials — name, date, venue, agenda, dress code and contacts — and apply your client’s branding: logo, colours and hero imagery. Your event gets a clean public URL like entrygrid.io/e/your-event.
- 02
Customise registration
Choose which fields guests see: company, job title, dietary requirements, party size and your own custom questions. Set a registration deadline and an optional capacity, and decide whether walk-ins are allowed.
- 03
Build the guest list
Import your invite list from CSV or add guests directly. Categorise VIPs, speakers, media and staff; assign tables; tag and note anything your team needs to coordinate.
- 04
Guests RSVP
Guests open your branded page and confirm in under a minute. Responses match to existing invitees by invite code or phone number — unknown responders become new guest records automatically.
- 05
QR entry passes issue themselves
Every confirmed guest receives a personal entry pass — name, company, category, registration ID and a unique QR code — styled like a boarding pass, viewable on any phone.
- 06
Check in at the door
Your team scans passes with any phone or tablet. A hit shows the guest’s details and checks them in instantly; duplicates flag with the original timestamp; search covers guests without a pass.
- 07
Measure attendance
Invited, confirmed, declined, pending, checked-in and attendance rate — live during the event, exportable after it. Your post-event report writes itself.
